Event Finance Coordinator
Intro
At Artists for President, we organise over 100 events a year. From local club nights to international productions. Behind each one is a complex mix of budgets, timelines and decisions that need to be spot on. As our Event Finance Coordinator, you play a key role in making sure that happens.
You’ll be responsible for the financial and administrative flow around our projects. From invoices and payments to budget tracking and cost control. You’ll work closely with our producers and management team, keep a sharp eye on the numbers, and help us make smart, informed choices as projects evolve.
This role is perfect for someone who enjoys working with detail, but also wants to understand the bigger picture. You’re structured, confident with systems like Exact Online, and comfortable communicating with internal and external stakeholders.
What will you be doing?
In this role, you’ll be responsible for the financial administration related to our events and projects. You’ll work closely with project managers and directors.
Your tasks will include:
- Processing purchase and sales invoices
- Maintaining the accounts payable and receivable
- Following up on outstanding payments
- Preparing and executing payments
- Reviewing and processing bank transactions
- Allocating costs and revenues to the correct projects and events
- Monitoring and updating project budgets
- Preparing final project settlements and post-calculations
- Identifying deviations in costs, margins, and budgets
- Preparing and/or supporting VAT filings
- Reviewing deals, contracts and agreements from a financial perspective
- Proactively contributing to cost control, profitability and strategic decisions
